Privacy policy

This is the privacy policy for Property Licence. It tells you what we collect when you use the site, why we collect it, how long it sticks around, and what you can do about it. We try to keep it plain.

Who runs the site

Property Licence is an independent project, not a council, not a government body, and not affiliated with any housing association or letting platform. The site is operated as a sole trader, based in the United Kingdom.

What we collect when you use the checker

The postcode checker sends the postcode you type to our server. If you pick an address from the dropdown, the address line and the underlying property reference are also sent. We use both to look up the council and the licensing scheme that applies. We do not link any of this to a real person.

We log each lookup as a short server log line. The log records the postcode, the council it resolved to, whether a scheme matched, and a rough timestamp. The log does not contain your name, your email, or anything you have to sign in to provide. The log helps us see which postcodes we cover well, which ones return nothing, and which councils need data improvements.

Our hosting provider keeps a separate access log that records your IP address, the page you requested, the time, and the user-agent string your browser sends. That log is kept for up to 30 days for security and abuse detection, then deleted.

Analytics

We use Clicky for traffic analytics. Clicky is a small, privacy-respecting analytics service that does not require cookies and does not link visits to a real identity. Clicky records the page you visited, the referrer, the country and city your IP resolves to (roughly), and the type of device. We use this to understand which pages are useful and where visitors come from.

The Clicky tracking code only loads in production. It does not load on the local development version of the site, and it is not loaded on the privacy or terms pages themselves.

We do not use Google Analytics, Meta Pixel, or any third-party advertising trackers. We do not run a remarketing pixel. We do not sell or share your data with any data broker.

Cookies

Property Licence does not set any cookies of its own. We do not have logins, account sessions, or shopping baskets that would need cookies.

Clicky may set a session-level identifier in some configurations. Where it does, it is a first-party cookie that lives only in your current browser session and is wiped when you close the tab. There is no cross-site tracking cookie on the site.

Lawful basis under UK GDPR

We rely on legitimate interests as the lawful basis for the limited data the site collects. The legitimate interest is running an informational property licensing service and protecting it against abuse. The data we hold is the minimum needed to run the lookup and the analytics.

We do not collect any special category data under Article 9, and we do not use the data for automated decision-making that produces legal effects.

How long we keep things

Server access logs are kept for up to 30 days, then deleted by the hosting provider. Application-level lookup logs (postcode plus matched council, no IP) are kept for up to 12 months and then aggregated into anonymous coverage statistics. The raw lookup rows are deleted at that point.

Clicky analytics retention is set by Clicky's own data policy, which is around 12 months at the time of writing. Their privacy notice is at clicky.com/terms.

Who we share data with

Property Licence does not sell your data, and we do not share it with marketing partners. The two parties that see any of it are the hosting provider that runs the server, and Clicky for analytics. Both are bound by their own data agreements with us and process the data under instruction.

We may disclose data if we are legally required to (for example, a court order or a request from a UK regulator). We do not voluntarily hand data to third parties outside of those situations.

Your rights

UK GDPR gives you a set of rights over personal data we hold about you. Because we do not collect names, emails or account information, most of these rights are easy to honour in a single step: there is nothing to retrieve, correct, or delete.

You have the right to ask what data we hold (a "subject access request"), the right to have it corrected if wrong, the right to have it deleted, the right to restrict processing, the right to data portability, and the right to object to processing. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.

Children

The site is aimed at landlords, tenants and conveyancers and is not designed for children under 13. We do not knowingly collect data from children.

Security

All traffic to and from the site runs over HTTPS. The application runs on a UK-based hosting provider behind a CDN with standard origin-allowlist protection. We use parameterised database queries to prevent SQL injection and we do not store any sensitive data such as payment information or login credentials.

No website is bulletproof. We commit to reporting any data breach that affects users to the Information Commissioner's Office and to affected users within 72 hours of discovery, as required by UK GDPR.

International transfers

Our hosting and database run on UK infrastructure. Clicky is based in the United States and processes the limited analytics data described above. The transfer relies on the UK Addendum to the EU Standard Contractual Clauses where applicable.

Changes to this policy

If we change anything material about how we handle data, we will update the "last updated" date at the top of this page and publish a short note alongside the change. We will not retroactively use older data for new purposes without your consent.
